Job Summary: We are seeking a reliable and proactive Administrative and Transport Associate to support our office operations and manage transportation logistics effectively. The ideal candidate will be highly organized, possess strong communication skills, and have the ability to multitask in a fast-paced environment. This role will involve administrative duties as well as handling transportation arrangements and logistics for the organization.

 

Responsibilities:

 

Administrative Support:

·      Assist in the organization of office events and meetings.

·      Maintain records and documentation related to facility operations.

·      Maintain office supplies and equipment, and ensure facilities are in good condition.

·      Procurement of goods and services, for office activities

·      Prepare and manage the facility’s budget.

·      Negotiate contracts with suppliers and service providers.

·      Schedule appointments, meetings, and travel arrangements for staff.

·      Address and resolve any facility-related issues or complaints.

·      Ensure high levels of satisfaction for both internal and external stakeholders.

·      Plan and coordinate events and activities held at the facility.

·      Liaise with event organizers to meet their requirements and ensure successful events.

·      Source and manage relationships with vendors and contractors.

·      Ensure contracts are up-to-date and services are delivered as agreed.


Transportation Coordination:

·      Coordinate transportation logistics for staff and visitors, including booking vehicles and managing schedules.

·      Create a daily trip roaster for employees who opted for company transport service

·      Ensure timely and safe transportation of goods and personnel.

·      Maintain records of vehicle usage, No show, and Time.

·      Monitor and manage transportation costs within budgetary constraints.

·      Ensure compliance with transportation regulations and safety standards.

·      Liaise with internal teams to understand their transportation needs and provide efficient solutions.

·      Communicate effectively with drivers, staff, and external stakeholders.

·      Handle inquiries and resolve issues related to transportation services promptly.


Minimum Qualification

·      Bachelor’s degree in business administration, facility Management, or a related field.

·      Proven experience in facility management or a similar role.

·      Excellent organizational and multitasking skills.

·      Proficiency in Microsoft Office Suite and facility management software.

·      Strong problem-solving skills and attention to detail.

·      Ability to work independently and as part of a team.

·      Minimum of 2 - 3 years of experience in the above role


Preferred Qualifications:

·      Certification in Facility Management (e.g., Certified Facility Manager - CFM).

·      Experience in budget management and transport management.
